📓 Scheduling in Gumb - Quick Guide



1. Types of Events

Community Events (Scheduler): visible to all members.
👉🏼 For events that involve the whole club or multiple groups.

Group Events (Group Scheduler): only visible to members of that group.
👉🏼 For practices, rehearsals, or internal activities.


💡 Recommendation:

  • Board → Use the Community Scheduler
  • Group Leaders → use the Group Scheduler




2. Create a New Event
  • Go to Scheduler or Group Scheduler
  • Click (bottom right)
  • Enter name, type, location, date, and time.
  • Optional: participants, recurring events, tasks, files
  • Save with Create Event






3. Recurring Events
  • Choose “Repeat Event”
  • Define the pattern: daily, weekly, monthly, or custom.
    👉🏼 Ideal for practices, shifts, or regular rehearsals










4. Add Participants
  • Tab Participants → select members
  • Default: all groups & members are invited
  • Sign-ups and cancellations are visible live






5. Tasks & Files
  • Tab Tasks → assign responsibilities (e.g. helpers, equipment, rides)
  • Tab Documents → upload & manage files
    👉🏼 Admins and group leaders can attach files directly to their groups/events










6. Edit or Cancel Events
  • Click the event → Edit or 🗑 Delete

💡 Tip: Instead of deleting, create an event type “Canceled!” (red)

  • Edit event → change type to “Canceled!” → save
  • Optional: add a comment

👉🏼 This way the event stays visible, even for members who missed the push notification or come online later







7. Visibility
  • Admins/Owners: see & manage all events (whether invited or not)
  • Group Leaders & Members: only see events they are invited/activated for
